What you need first

  • The Appointments module on your plan.
  • The people who take bookings. Add them as team members first if they should sign in to the panel.
  • For reminders: an email (SMTP) or WhatsApp Cloud sending channel, and an approved WhatsApp template for WhatsApp reminders.
On this page
  1. Add your services
  2. Add staff and working hours
  3. Block time off
  4. Set the booking rules
  5. Share your booking link
  6. Send reminders
  7. Manage appointments
  8. Bookings in chat

Add your services#

  1. Step 1: Open Services and press New service

  2. Step 2: Describe it

    • Name and Description (shown to customers).
    • Duration (minutes), and an optional Buffer before and Buffer after.
    • Price — leave it empty to hide it.
    • Where: In person, Phone call or Video call, with details.
    • Who provides it and its colour on the calendar.
  3. Step 3: Decide who can book it

Customers can book it online and through the bot opens it to customers; without it, only your staff can book it. Available for booking switches it on or off.

Good to know: A service that nobody provides shows No staff yet — it cannot be booked.

Add staff and working hours#

  1. Step 1: Open Staff & hours and press Add staff or room

A name, the type (Staff, Room or Equipment), the Team login it belongs to if any, title, contact details and the Services it offers. Keep Can be booked on.

  2. Step 2: Set the Working hours

Switch each weekday on or off (off shows Closed) and set its hours. For a lunch break, add a second time range on that day. Copy … to the other working days saves typing.

Block time off#

On Staff & hours → Time off, press Add time off. Choose Whole business (holiday) or one person, tick Full days or set times, and give the From and To dates and an optional Reason.

Good to know: Appointments already booked in that time are kept, not moved. Reschedule them yourself from Appointments.

Set the booking rules#

Booking settings holds the rules for every booking:

  • Time zone, and how often start times are offered (every 15 minutes by default).
  • Minimum notice for online bookings, and how many days ahead customers may book.
  • Confirm new bookings automatically — on by default. Turn it off to approve each one; new bookings then wait as Pending.
  • Add new customers to campaign — puts new customers into a CRM campaign (needs the CRM).

Send reminders#

  1. Step 1: Choose when

Up to three reminders — from 15 minutes to 2 days before (1 day and 1 hour by default).

  2. Step 2: Choose how

    • Email: pick the channel to Send from. The text is fixed and includes the link to reschedule or cancel.
    • WhatsApp: pick the channel, the approved template's name and language, and which details fill its variables.

Good to know: With no channel connected yet, reminders wait and go out once one is; Connect one takes you to add it. Customers get reminders only — there is no separate confirmation message when a booking is made.

Your team is told in the panel (the bell): the owner, whoever can change Booking settings and the booked staff member hear about every new, moved, cancelled or missed appointment, and the staff member again 15 minutes before it starts. Turn on Enable push notifications in the notification inbox to get them as browser notifications too.

Manage appointments#

  • Appointments lists them by Upcoming, Today, Past and All, with who booked each — staff, online, the agent or the API.
  • Open one to Confirm it (when pending), mark it Completed or No-show once it has started, Reschedule it to another free time (Move here), or Cancel it with a reason.
  • New appointment books one yourself; Book a time outside working hours lets you go past the usual hours.
  • Calendar shows appointments with CRM follow-ups by month, week or day. Click an empty time in week or day view to book.

Bookings in chat#

A Book Appointment step offers the services customers can book, then the person, the day and the time as buttons — only times that are really free under your rules. Typed answers such as "tomorrow", "kal", a weekday, a date or "2 pm" work too. It asks for a name and phone only if the chat does not have them, confirms, and replies with the link to manage the booking.

When the CRM is on, each booking is linked to the customer's lead, or a new lead is created. Set the step up as described in Workflows.
