What you need first
- The Products & clients and Quotations modules on your plan. Proposals and invoices are separate modules.
- Your logo, signature and bank details for the documents.

Add your products#
Step 1: Open Products and press New product
Step 2: Fill in the details
- Name, and a Product code if you use one (SKUs are built from it).
- Description — the agent reads it when matching requests.
- Category, Brand, Unit and HSN / SAC.
- Price (₹) and GST % (18 by default).
Step 3: Add variants if it comes in options
Add option (for example Size or Power — up to 5), then Add variant for each combination with its own SKU, price, GST and stock. Suggest SKUs fills the SKUs from the product code.
Step 4: Keep it Active and press Add product
Only active products can be quoted and found by the agent.
Good to know: Products can also arrive from your website when you train an agent on it, from staff on WhatsApp, and from a Shopify or Odoo store connected under Integrations where your workspace offers them. There is no spreadsheet import for products.
When a product has no price#
A product saved without a price shows Price not set (or Some not set when only some variants have one). It is never treated as ₹0.
- In the panel: picking it on a quotation leaves its rate empty and asks you to enter one; the quotation cannot be saved until you do.
- Staff in chat: the agent asks what rate to put.
- Customers in chat: the agent says the price is not listed yet and offers to leave the item out. It never adds a ₹0 line.
Add clients#
Clients → New client: Contact name, Company, Phone, Email, GSTIN, the billing address and the shipping address (Same as billing copies it), and Notes that only your team sees.
Clients are also saved for you when you record an uploaded document and when the agent quotes for someone new. There is no client import.
Set up your documents once#
Open Document settings and work through the sections, then press Save settings:
- Company & contact
- Use your business profile, or different details for documents.
- Logo & style
- Logo and Signature (PNG or JPEG, up to 2 MB), the signatory, and the Style — one of the built-in layouts.
- Tax & numbering
- Default GST rate, IGST or CGST & SGST, how many days a quotation is valid, the number prefix and whether to include the year.
- Terms & notes
- Numbered terms (Add term) and notes printed on every quotation.
- Proposals & invoices
- Their own titles, validity or payment due days, numbering and terms.
- Bank details
- Account name and number, bank, IFSC, branch and UPI ID.
Good to know: You choose from the built-in layouts. Uploading your own letterhead or document design is not available.
Make a quotation in the panel#
Step 1: Open Documents, press New and choose New quotation
Step 2: Choose the client
Pick a saved client fills in their details, or type them.
Step 3: Add the items
Type in an item's name to pick from your catalogue — it fills the name, HSN, GST and rate. Add Item adds a blank line; Import items reads up to 500 lines from Excel or CSV (download the template it offers).
Step 4: Calculate, Preview, Save
The preview lets you switch layout and Download PDF. The first save creates a draft.
Step 5: Keep its status up to date
Change status… as it moves on — sent, accepted, rejected, expired. Make proposal or Make invoice carries it forward.
Good to know: Sending is up to you: download the PDF and share it. The panel does not email or WhatsApp documents, and "sent" is a status you set.
Invoices have a few more steps: Issue invoice gives it its number and locks it, Record payment logs bank transfer, UPI, cash, cheque, card or other payments, and Void or Cancel invoice (only while nothing is paid) withdraws it.
Depends on your plan: Proposals and invoices appear only when your plan includes them. Compare plans.
Record a document made elsewhere#
Step 1: Upload → Upload a document
Choose a PDF, image (PNG, JPEG, WebP), Excel (.xlsx) or Word (.docx) file, up to 10 MB.
Step 2: Check what was read
The form fills itself — the number as printed, date, total, tax, due or valid-till date and the party. Check anything marked as uncertain.
Step 3: Press Record document
It keeps its own number, shows Uploaded, and cannot be edited. The party is matched to a saved client, or saved as a new one.
Tip: To work on someone else's quotation, invoice or purchase order instead, use Upload → Create from PDF (AI): it becomes an editable draft you save with Save as draft.
Quotations in chat#
Step 1: The customer (or a staff member) asks in plain words
English, Hindi or Hinglish — for example "2 HP ke 3 pump ka quotation chahiye".
Step 2: The agent matches each item
An exact product or code is taken; anything unclear is offered as buttons (up to 5, plus None of these). It asks for missing quantities and variants.
Step 3: It asks who it is for
If the step is set to — staff are offered their 9 most recently quoted clients.
Step 4: It confirms, then creates it
A summary first; the quotation is created only after a yes, and the reply carries the PDF link.
Add the step to a workflow as described in Workflows.
